Virginia United FC is committed to delivering high-quality football programs and experiences for our community. This policy outlines our position on refunds and cancellations across all Club programs and activities.
Nothing in this policy limits any rights you hold under the Australian Consumer Law.
All fees paid to Football Queensland and Football Australia through PlayFootball or Squadi are paid directly to those governing bodies and are entirely outside the Club's control. Virginia United FC does not hold, manage or receive these funds.
If you are seeking a refund of FQ or FA registration fees, you must contact Football Queensland or Football Australia directly. Virginia United FC cannot process, facilitate or be held responsible for refunds of governing body fees under any circumstances.
Club registration fees are committed in full to program delivery at the point of registration. This includes coaching, training infrastructure, equipment, ground management, insurance, administration and competition costs. As a result, all club registration fees are non-refundable.
We understand that circumstances change, and we treat every request with care and respect. If you have experienced a significant change in circumstances that prevents participation, you are welcome to submit a request for review. We will assess each request on a case-by-case basis, considering the nature of the situation and where we are in the season.
All decisions on refund requests are made by the General Manager and Committee, and their decision is final.
Submit your request in writing to admin@virginiaunitedfc.com.au with the subject line "Refund Request - [Player Name]". Please include the participant's name, the program or team, the reason for the request, and any supporting documentation such as a medical certificate or similar.
We will acknowledge your request within 5 business days and aim to respond within 14 business days. Where a refund is approved, it will be returned to the original payment method where possible.
Term-based programs are non-refundable once the term has commenced.
Where a session is cancelled due to wet weather, unsafe conditions or circumstances outside the Club's control, we will wherever possible provide one or more of the following alternatives rather than a refund: a credit toward a future term or session, an additional session within the current term, or supplementary content or activities. The form of alternative offered is at the Club's discretion and will depend on the program and circumstances.
Holiday Camps are non-refundable once a booking is made. In the event of a cancellation by a participant, no refund will be issued. Where the Club cancels a camp or session, participants will receive a full credit toward a future camp or, at the Club's discretion, a refund.
If you need to transfer a camp booking to another participant or session, please contact admin@virginiaunitedfc.com.au at least 48 hours in advance and we will do our best to accommodate this.
