Photography & Media Policy

Version 1.0 - June 2026

Virginia United Football Club (VUFC) is proud of our community and regularly documents our activities through photos and videos. This policy sets out how we manage photography and media at Club activities, with particular attention to the safety and privacy of children and young people.

This policy applies to all photography and videography at VUFC activities - including matches, training sessions, holiday camps, clinics and club events - whether taken by Club staff, volunteers, media or spectators.

1. Club Photography & Media

VUFC regularly photographs and films Club activities for use on our:

  • Website (virginiaunitedfc.com.au)
  • Social media channels (Facebook, Instagram)
  • Club newsletters, promotional materials and sponsorship reports

By registering with Virginia United FC, members and their families consent to the Club using photos and videos taken at Club activities for these purposes, subject to the conditions in this policy.

If you do not wish for yourself or your child to appear in Club media, please notify us in writing at admin@virginiaunitedfc.com.au. We will make reasonable efforts to ensure you or your child is not featured in published content. 

Note that it may not be possible to exclude individuals from all wide-angle team photos or crowd shots.

2. Children & Young People

The safety and dignity of children is our highest priority. In relation to members under 18:

  • We will not publish photos that could be considered inappropriate or that place a child in a vulnerable position
  • We will not publish full names alongside identifiable photos of children on publicly accessible channels without parental consent
  • We will not publish a child's personal information (address, school, contact details) alongside any media
  • Photos of children will not be tagged with their full names on social media without parental consent
  • We will not use images of children in any commercial arrangement without the express written consent of a parent or guardian
  • We will not use images of children for profiling, targeted advertising or any commercial purpose - consistent with the direction of the Children's Online Privacy Code (exposure draft, March 2026)
  • Where we are aware that a child's image has been shared without appropriate consent, we will take prompt action to remove it from our channels

If a parent or guardian asks us to remove a photo of their child from any Club channel, we will do so promptly. Requests can be made at any time to admin@virginiaunitedfc.com.au.

3. Spectators & Parents Taking Photos

Parents and spectators are welcome to photograph and film their own children and family members at Club activities. When doing so, please:

  • Be mindful of other children in the frame - avoid publishing images that prominently feature other people's children without their parent's consent
  • Do not photograph or film individuals who have asked not to be photographed
  • Do not publish or share images or footage in any way that could embarrass, harm or identify another person without their consent
  • Do not film or photograph in change rooms, toilets or other areas where privacy is expected - this is strictly prohibited and may constitute a criminal offence

4. Media & External Photographers

Credentialled media representatives attending Club activities must identify themselves to Club management upon arrival. The Club reserves the right to decline media access at any activity.

External photographers engaged by the Club (e.g. for season photos, sponsor content) must be briefed on this policy before attending. The Club will ensure appropriate consent is in place for any commercial use of images.

5. Reporting Concerns

If you observe photography or filming behaviour at a Club activity that you believe is inappropriate or that makes you uncomfortable, please report it immediately to a Club official or contact us at admin@virginiaunitedfc.com.au.

Any concerns relating to inappropriate photography of children will be treated as a child safety matter and managed in accordance with our Member Protection, Child Safety and Code of Conduct policy.

6. Breaches of This Policy

Failure to comply with this policy may result in:

  • A request to stop filming or delete images
  • Removal from the venue
  • Referral to Club disciplinary processes
  • Referral to Queensland Police where conduct may be unlawful
