
Virginia United FC is committed to providing a safe and supportive environment for every participant. To do that, we rely on parents and guardians to share relevant information about their child before they take part in any Club activity.
Coaches, managers and volunteers are not trained medical professionals. They cannot be expected to identify, manage or accommodate health conditions, disabilities or special needs that have not been disclosed to us in advance. Proactive disclosure is one of the most important ways parents can help us keep children safe.
Before your child joins any Club activity, you must let the Club know about any medical conditions, physical or cognitive disability, behavioural needs, allergies, or anything else that may affect your child's ability to participate safely. You must provide details of any medication your child requires during Club activities and ensure they have access to it at all times. You must keep your child's registration details up to date, including emergency contacts and health information, and tell us promptly if anything changes during the season.
The Club will treat any information you share with us confidentially. Where reasonable adjustments are needed, we will work with you to put them in place.
The Club cannot administer medication unless a specific arrangement has been made with a qualified, responsible adult. We cannot provide specialist medical, therapeutic or disability support beyond standard coaching and supervision. We cannot accept responsibility for harm that results from a condition we were not informed of.
You must be contactable during all Club activities. In the event of a medical issue or emergency involving your child, we need to reach you quickly.
Virginia United FC requires a minimum of two adults to be present at all training sessions and matches involving players under 18. This is a non-negotiable safeguarding requirement.
At least one of the two adults must be independent of the head coach. This is typically a team manager, assistant coach, or a designated parent or guardian representative who has been registered with the Club for that role. Both adults must hold a current Blue Card where required under Queensland law.
This requirement exists to protect children by ensuring multiple responsible adults are present at all times, and to protect coaches and managers by ensuring there is always an independent witness. A session cannot proceed if only one adult is present.
